Hi All,

Teams Rooms calendars show the organizer's name instead of the subject.
I run the PowerShell command Set-CalendarProcessing -Identity ******@company.xyz -DeleteSubject $False -AddOrganizerToSubject $False

I can confirm that the command applied successfully.

Please advise what else should be done.

Hi @DT_2026,

Based on the configuration shown in your screenshot, the settings appear to be correct. DeleteSubject is set to False, AddOrganizerToSubject is set to False, and AutomateProcessing is set to AutoAccept. Therefore, meeting requests processed by the room mailbox after this configuration was applied should retain their original subject.

One point that is not clear from the post is whether this behavior occurs with meetings that were sent before the change or with completely new meetings created after the change. Existing calendar items may still retain the subject that was stored when the room originally processed the invitation.

Could you confirm whether you are checking an existing meeting created before the change, or a completely new meeting created afterward? To test this, please create a new meeting with a recognizable subject such as Room Subject Test, invite the room, wait for it to be accepted, and then check how it appears on the Teams Rooms device.

If the newly created meeting still shows the organizer’s name, and you have permission to view the room calendar, please open the room resource mailbox’s calendar directly in New Outlook or Outlook on the web. Add the room calendar using the room mailbox’s email address, rather than checking the meeting in the organizer’s personal calendar. Then open the test meeting and verify whether the original subject is displayed.

Please keep me posted if there are any updates. Thank you for taking the time.

The settings are correct; create a completely new, non-private meeting and invite the room because Set-CalendarProcessing does not retroactively rewrite calendar items that were accepted before the change.^1^

    Test the effective configuration

    1. Leave the existing meetings unchanged for comparison.
    2. From a user mailbox, create a new meeting with a distinctive subject, such as Room subject test.
    3. Invite the Teams Room resource mailbox and wait for its automatic acceptance.
    4. Check the new reservation on the Teams Rooms calendar.

Do not test initially by editing an old meeting or using an occurrence from an existing recurring series. Previously processed meetings can continue showing the organizer’s name. If those meetings must display their subjects, cancel and recreate them after the mailbox settings were changed.^1^

Your current values already match the two subject-related Teams Rooms recommendations:

    • DeleteSubject: False — retain the original subject.
    • AddOrganizerToSubject: False — do not replace it with the organizer’s name.^2^

Align the remaining relevant mailbox properties

The screenshot also shows RemovePrivateProperty: True and DeleteComments: True. Microsoft’s recommended Teams Rooms values are $false for both:

    • RemovePrivateProperty $false preserves the meeting’s private flag.
    • DeleteComments $false retains the invitation body, which can be required to generate join buttons for third-party meetings.^2^

These settings are not the explanation for an ordinary, newly created meeting showing the organizer, but they can be aligned separately:

    Set-CalendarProcessing -Identity "[Email]" `
      -AutomateProcessing AutoAccept `
      -DeleteSubject $false `
      -AddOrganizerToSubject $false `
      -RemovePrivateProperty $false `
      -DeleteComments $false

    Get-CalendarProcessing -Identity "[Email]" |
      Format-List AutomateProcessing,DeleteSubject,
        AddOrganizerToSubject,RemovePrivateProperty,DeleteComments

For diagnosis, ensure the first new test meeting is not marked Private. Private reservations can intentionally have restricted display behavior and should be tested separately after ordinary meetings work.

If only Outlook users cannot see the subject

This is a calendar-permission issue rather than Teams Rooms processing. The default AvailabilityOnly permission does not expose subjects; users need at least LimitedDetails to see them.^3^

    Check the room calendar permissions:

    Get-MailboxFolderPermission -Identity "[Email]:\Calendar"

Change permissions only if users viewing the room calendar require subject visibility; this is not normally needed merely for the Teams Rooms device itself.

If a newly created, non-private meeting still shows the organizer after automatic acceptance, collect the meeting creation time, organizer, room acceptance message, and the displayed result, then open a Microsoft 365 support case. At that point, the documented mailbox settings and the non-retroactive behavior have both been accounted for.
