Using classic Outlook for Windows in business environments
Hi @Kate
Thank you for clarifying the situation.
If you select “Send updates only to added or deleted attendees,” the update will still be sent to the distribution list you have just added. Outlook may not exclude members of that list simply because they were already invited individually. In my test environment, the overlapping members could still receive a meeting update through the distribution list.
I would also avoid removing the individual addresses and leaving only the distribution list. In my testing, when I removed a previously invited attendee, the meeting was removed from that attendee’s calendar, even though the attendee was also included in the distribution list.
I could not find an option in Classic Outlook to add the entire distribution list silently while preventing the overlapping members from receiving notifications. The safest workaround would be to expand the list, remove the people who are already invited, and add only the remaining members. You can then select “Send updates only to added or deleted attendees.”
Since this behaviour may vary depending on the Exchange environment, I recommend testing it with a small distribution list before applying it to the actual meeting.
I’m just a fellow community user, not a Microsoft employee, but I hope this helps. Please let me know if you have any updates.
